Administration Clerk (Ref No: DIA/23/25/26)
Salary: R237,453 – R279,708 per annum (Salary Level 05)

Minimum Requirements
Applicants must have a Grade 12 (NQF Level 4) qualification or an equivalent qualification. No previous work experience is required.

- Basic understanding of the Public Finance Management Act (PFMA) and Treasury Regulations relating to procurement and expenditure management.
Key Responsibilities
The successful candidate will provide administrative and clerical support to the division by:
- Recording, organising, storing, capturing, and retrieving documents, correspondence, and data.
- Updating registers, databases, and office statistics.
- Responding to routine enquiries from internal and external stakeholders.
- Photocopying, faxing, and distributing documents and packages when required.
- Maintaining an efficient filing system and document registers for incoming and outgoing correspondence.
- Typing letters, reports, and other official documents.
- Assisting with supply chain administration by obtaining quotations, completing procurement documentation, and coordinating the purchasing of office supplies.
- Monitoring and controlling office stationery stock.
- Maintaining the division's asset register.
- Providing personnel administration support, including maintaining leave records, attendance registers, and personnel files.
- Arranging official travel and accommodation for staff.
- Capturing and updating expenditure records.
- Verifying subsistence and travel claims before submitting them for approval.
- Managing telephone accounts and petty cash administration.

Successful candidates will undergo comprehensive pre-employment screening, including:

Shortlisted candidates will be required to complete two pre-entry assessments:
- A practical/technical assessment.
- An Integrity (Ethical Conduct) Assessment.
The results of these assessments will form part of the overall selection process. Candidates applying for Senior Management Service (SMS) posts will also complete a technical exercise, interview, and psychometric assessment where applicable.
Successful appointees will be required to disclose their financial interests within one month of appointment and will serve a 12-month probation period in accordance with the Public Service Regulations.
