Job Overview

The South African Police Service (SAPS) is inviting applications for the position of Administration Clerk within the Crime Registrar component. The successful candidates will provide comprehensive administrative support relating to Finance, Supply Chain Management, Human Resource Management, and records management while ensuring the efficient coordination of reporting processes and administrative functions within their respective provinces.

Minimum Requirements

  • Grade 12 / Senior Certificate / NCV Level 4 or an equivalent NQF Level 4 qualification recognised by SAQA.
  • South African citizenship (proof must be presented during the interview process).
  • Proficiency in English and at least one other official South African language.
  • Relevant administrative qualifications or short courses will be an added advantage.

  • Computer literacy in Microsoft Office (Word, Excel, PowerPoint, Outlook, and Office Suite).
  • Strong administrative and organisational skills.
  • Good planning and problem-solving abilities.
  • Excellent verbal and written communication skills.
  • Strong interpersonal and customer service skills.
  • Ability to work independently while maintaining professionalism and accountability.
  • High level of integrity, reliability, and attention to detail.
  • Ability to work under pressure and, when required, extended working hours.

Key Responsibilities

  • Provide administrative support relating to Finance, Supply Chain Management, and Human Resource Management.
  • Maintain an organised filing and records management system in accordance with approved policies.
  • Classify, store, retrieve, and safeguard official documents and records.
  • Ensure performance-related submissions and supporting documents are properly filed and easily accessible.
  • Monitor reporting deadlines through an effective reminder system.
  • Maintain records relating to reporting compliance and correspondence.
  • Coordinate the distribution of reporting templates, schedules, guidelines, and supporting documents.
  • Compile administrative statistics relating to reporting compliance and submission trends.
  • Arrange logistics for meetings, reporting sessions, and official engagements.
  • Prepare meeting agendas, attendance registers, and minute-taking documentation.
  • Draft routine administrative correspondence.
  • Manage incoming and outgoing correspondence efficiently.
