Job Overview

Bluespec Holdings is seeking a detail-oriented Administrator to support vehicle auction operations by managing administrative processes, stock control, and customer service. The successful candidate will ensure accurate vehicle tracking, maintain stock records, and provide administrative support to internal teams while delivering excellent service to clients.

Key Responsibilities

• Manage administrative and vehicle stock control processes before, during, and after auctions.
• Ensure all vehicle check-in and release procedures comply with company standards.
• Maintain accurate daily records of vehicles received and released.
• Perform bi-weekly vehicle stock counts and report any discrepancies.
• Tag, number, and track vehicle keys to ensure proper key management.
• Allocate unassigned vehicle stock to the relevant insurance companies.
• Respond promptly and professionally to email enquiries from internal and external stakeholders.
• Update vehicle locations for inter-branch transfers and communicate with clients regarding sold vehicles.
• Assist clients in retrieving personal belongings from auctioned or sold vehicles.
• Provide administrative support to assessors and investigators when required.
• Carry out additional administrative and operational duties as assigned by management.

Minimum Requirements

• Matric (Grade 12).
• At least 2 years' administrative work experience.
• Previous customer service experience, preferably within the motor vehicle or insurance industry.
• Intermediate proficiency in Microsoft Office applications.
• Experience with Salesforce will be an added advantage.
