How to Complete a Z83 Form: Government Job Application Form

What is a Z83 Form?

The Z83 form is the official South African government Application for Employment form used when applying for advertised public service positions. It helps government departments assess applicants' personal details, qualifications, work experience and suitability for a vacancy.

The current Z83 form has been in effect since 1 January 2021. Always use the official form and check the vacancy advertisement for any department-specific instructions.

Step-by-Step Guide: How to Complete a Z83 Form

Step 1: Part A — The Advertised Post

This section identifies the government job you want to apply for. Copy the details directly from the vacancy advertisement.

You will generally need to provide:

  • Position for which you are applying: Write the exact job title.

  • Department: Enter the name of the government department advertising the post.

  • Reference number: Use the exact reference number provided in the advert.

  • Availability or notice period: State when you can start work or how much notice you must give your current employer.

These are illustrative details, not a real vacancy. Use the actual information in the job advert.

Step 2: Part B — Personal Information

Complete your personal details carefully. This section may ask for your name, identity or passport information, citizenship, demographic information, criminal record, disciplinary history, employment history and business interests.

Depending on the field, you may need to provide:

  • Full names and surname as they appear on your official documents.

  • South African ID number or applicable passport details.

  • Citizenship and work permit information, where applicable.

  • Race, gender and disability information as requested by the form.

  • Answers to questions about criminal convictions, pending cases and previous public service employment.

  • Information about business interests involving the State.

  • Years of work experience in the private and public sectors.

  • Professional registration details, if applicable.

Important: Answer every relevant question honestly. Do not answer “No” simply because you are unsure what a question means. If a field does not apply, follow the form's instructions and the applicable DPSA guidance. South African applicants generally do not need to provide a passport number, and certain fields relating to professional registration may be left blank if the applicant has no such registration.

Step 3: Part C — Contact Details

This section allows the department to contact you about your application.

Provide your current:

  • Residential or postal address, as requested.

  • Telephone or mobile number.

  • Email address.

  • Preferred method of communication, where indicated.

Step 4: Part D — Language Proficiency

List the official South African languages you can speak and write, according to the categories provided on the form.

Assess your abilities honestly. Do not claim fluency in a language you cannot comfortably speak or write.

Use the proficiency options provided on the actual form rather than assuming these example ratings match its exact wording.

Step 5: Part E — Qualifications

List your formal qualifications and educational achievements, following the form's instructions. Include the institution, qualification, year completed and other requested details.

Start with your highest qualification if instructed to list qualifications from highest to lowest.

Worked example

Qualification

Year

National Senior Certificate

Example Secondary School

Diploma in Public Management

Example College

Only list qualifications you have actually obtained. If you are still studying, identify the qualification as in progress rather than completed.

If you have limited space, you may refer to an attached CV where the applicable DPSA guidance permits it, but the CV must contain the requested details.

Step 6: Part F — Work Experience

Record your employment history, including your employer, job title, dates of employment and reasons for leaving, where requested.

Include relevant formal employment and other experience that helps explain your background. If you have never worked, do not invent employment history. State that you have no formal work experience, or indicate that the section is not applicable, in accordance with the form's instructions.

If your work history is extensive, attach a detailed CV and follow the instructions for referring to it in the form. Remember that the information in your CV must be accurate and consistent with your application.

Step 7: Part G — References

Provide the names and contact details of people who can verify your work experience, professional conduct or other relevant background, as requested.

A reference may be a former supervisor, manager or another suitable professional contact. Ask permission before listing someone as a reference.

Example entry

Name

Relationship

Contact number

072 345 6789

If you have never been employed, check whether the department permits an academic, training or other professional reference. Never invent a reference or provide someone else's details without permission.

Step 8: Declaration and Signature

Read the declaration at the end of the form carefully. By signing it, you confirm that the information you have supplied is true and correct.

Before submitting:

  • Sign the form in the designated space.

  • Enter the date if required.

  • Complete all applicable signature fields.

  • Check whether the department requires initials on individual pages.

An unsigned Z83 can jeopardise your application. DPSA clarification issued in March 2025 emphasises that the form must be fully completed and signed, including the questions in Part F concerning conditions that may prevent re-employment in the public service.

Common Z83 Mistakes to Avoid

Many applicants can improve their applications by avoiding the following errors:

  1. Using an outdated form: Download the current version from the official DPSA website.

  2. Leaving required fields incomplete: Follow the DPSA instructions and answer every required question.

  3. Using the wrong reference number: Verify the number against the exact vacancy advertisement.

  4. Providing incorrect information: Ensure that the Z83 and CV agree.

  5. Leaving Part F questions unanswered: Pay particular attention to the questions about conditions that could prevent re-employment in the public service.

  6. Forgetting to sign: Check the declaration before submission.

  7. Attaching the wrong documents: Follow the specific vacancy instructions rather than assuming every department requires the same attachments.

  8. Submitting late: Allow time for email delivery, online uploads or physical delivery.

The DPSA has published official guidance on completing the Z83, including Circular 19 of 2022 and the clarification issued in March 2025. These are useful references when you are unsure how to answer a question.

Where to Submit Your Z83 Form

The submission method depends on the department advertising the position. Applications may be submitted by email, through an online recruitment portal or by physical delivery, depending on the advertisement.

Follow the exact instructions in the vacancy notice. The national government's employment guidance confirms that applicants should submit the completed Z83, their CV and any other required documents to the relevant department.

Frequently Asked Questions

1. Can I complete the Z83 form on my phone?

Yes, if you have access to a suitable PDF reader or an online recruitment system. You can also print the form and complete it neatly by hand, provided the department accepts that format.

2. Must I attach certified copies of my ID and qualifications?

Not automatically. Follow the vacancy advertisement. DPSA guidance generally provides for applicants to submit a completed Z83 and detailed CV initially, with shortlisted candidates asked to provide certified supporting documents where required. Specific instructions may vary by department.

3. Can I apply for more than one government job using the same Z83?

You can use the official form as a template, but check and update the advertised position, department and reference number for every application. Complete each application according to its own instructions.

4. What should I write if I have never worked before?

Be honest. Indicate that you have no formal work experience where appropriate, and highlight relevant qualifications, practical training, volunteering or other experience in your CV. Do not create fictional employment details.

5. What happens if I submit an incomplete Z83?

Your application may not be considered. The DPSA's March 2025 clarification stresses that the Z83 must be fully completed and signed.

Completing the Z83 form correctly is an important step when applying for government jobs in South Africa. Take time to read the vacancy advertisement, enter accurate information, complete the required sections, attach the requested documents and sign the declaration.

Use the official form and guidance, and keep a copy of your completed application for your records.
