Minimum Requirements
- Grade 12 (Matric) certificate or an equivalent qualification.
- No prior experience required.
- Basic knowledge of supply chain management processes.
- Good communication and interpersonal skills.
- Computer literacy.
- Strong planning and organizational abilities.
- Ability to work effectively in a team environment.
- Good verbal and written communication skills.
- Flexibility and attention to detail.
Key Responsibilities
The successful candidates will be responsible for:
- Sourcing quotations from suppliers through the Central Supplier Database (CSD) and E-Portal.
- Receiving, recording, and tracking requests for quotations (RFQs).
- Maintaining and updating RFQ progress registers.
- Issuing quotation requests and invitations to selected service providers.
- Receiving, recording, and evaluating quotations.
- Preparing evaluation reports and procurement documentation.
- Submitting procurement documents for review, verification, and approval.
- Following up with end-users regarding approval of procurement documents.
- Publishing RFQ award results on the E-Portal.
- Maintaining and updating departmental contract, transversal contract, and finance lease registers.
- Assisting and guiding end-users on finance lease procurement processes.
- Filing service level agreements (SLAs) and contract documentation.
- Compiling monthly reports on RFQs and Requests for Proposals (RFPs).
- Monitoring and reporting on the progress and status of procurement activities.
- Maintaining records of valid B-BBEE certificates and sworn affidavits for awarded suppliers.
- Responding to procurement-related queries from internal and external stakeholders via email and telephone.
- Providing feedback and support to internal clients.
- Verifying supplier compliance, including tax status, banking details, and CSD registration information.
- Ensuring quotation validity and completeness of required bid documents (SBD1 and SBD4).
- Confirming that company directors are not employed by the state.
- Preparing comparative schedules for procurement reviews.
